Study in Japan for Indian students step-by-step route from shortlist to student visa

Study in Japan for Indian Students: 8 Essential Steps From Shortlist to Visa

The route to study in Japan for Indian students follows one sequence, in one order, and most expensive mistakes come from doing the steps out of order. The intake date is the right starting point, because it decides every deadline that follows.

This guide to study in Japan for Indian students sets out the eight steps we walk every B.Tech student through, from the first shortlist to landing in Japan with a residence card. Every figure is linked to its Japanese government or university source.

Step 1: Choose your intake before your university

The first decision in study in Japan for Indian students is the month you enter. Japanese graduate schools admit mainly in April and in September or October. For study in Japan for Indian students on a B.Tech timetable, the calendar matters more than any ranking.

If you graduate in May or June 2027

Eligibility is tied to the admission date. The University of Tokyo’s Graduate School of Engineering asks that applicants complete 16 years of schooling “by the day before the admission date in April or October 2027”, as set out in its Master’s application guidelines for 2027 entry.

A student graduating in May or June 2027 has not finished the degree by 1 April 2027. So the first realistic entry is October 2027, with April 2028 as the fallback. Our post on the MS in Japan intake for 2027 sets out the full timing.

If you already hold your degree

Graduates from 2026 or earlier can still target April 2027, and the windows closing between now and December matter to them.

Step 2: Confirm the 16-year eligibility rule

Most Japanese Master’s programmes ask for 16 years of school education completed outside Japan. Twelve years of schooling plus a four-year B.Tech gives an Indian applicant exactly 16.

A three-year Bachelor’s gives 15, and that changes which programmes are open. Check the eligibility clause in each programme’s own guidelines before paying any application fee. For study in Japan for Indian students with a three-year degree, this step decides the whole shortlist.

Step 3: Build a shortlist from the official search

The Japanese government’s Study in Japan school search lets you filter by academic level, major, medium of instruction and course starting month. The most useful filter is “Pre-arrival admission”, which marks programmes that decide admission before you travel.

Confirm every result on the university’s own admissions page. Stale third-party lists are the most common shortlist error in study in Japan for Indian students.

Keep national, public and private open

National universities set fees near a standard rate. Private universities set their own and several run tuition reduction schemes. Narrowing too early removes good options. Our pillar guide to study in Japan covers how the categories differ.

Step 4: Check the language requirement

English-taught Master’s programmes set their own language evidence. The UTokyo Engineering guidelines ask for the proficiency needed to take classes and receive research guidance in English, and note that individual programmes may ask for TOEFL or GRE scores.

For study in Japan for Indian students in English-taught programmes, read the language clause of each programme, never the university’s general page.

Step 5: Budget from published fees

Here are published Master’s fees from two national universities, taken from their own pages.

ItemUniversity of Tokyo (Master’s)Institute of Science Tokyo (Master’s)
Examination fee¥30,000¥30,000
Admission fee, once¥282,000¥282,000
Annual tuition¥535,800¥635,400

Sources: UTokyo admission fee and tuition page and Science Tokyo tuition and fees page, checked 29 September 2026.

¥535,800 is the national standard rate, and universities may set their own figure. Science Tokyo shows how far that can move. Budget from the fee schedule of the exact programme you apply to, in writing, for the year you enter. A sound plan to study in Japan for Indian students starts from that written schedule.

Step 6: Look at funding routes early

Funding decisions run on their own calendars, often earlier than admission. The MEXT University Recommendation route rides on the university application itself, so it has to be identified at shortlist stage. Our guide to MEXT University Recommendation for Indian applicants explains which universities run it and when.

Step 7: Apply and secure the admission letter

Each graduate school publishes its own window, and one window can serve two intakes. The University of Tokyo Graduate School of Science runs a Special Selection for International Applicants from 15 to 30 October 2026, serving both April 2027 and October 2027 entry.

Expect a research plan, transcripts, a letter of expected graduation and recommendation letters. Some programmes also ask you to contact a prospective supervisor first, and for study in Japan for Indian students this contact is often the step that takes longest. The admission letter is what starts the visa stage.

Step 8: COE, visa and arrival

After admission, the university applies in Japan for your Certificate of Eligibility. With the COE issued, you apply for the student visa through the Japanese mission in India. Our guide to the Certificate of Eligibility for Japan covers each document in the file.

Proof of funds

No Japanese government body publishes a fixed monetary threshold for proof of funds. The family shows the course can be funded, and the assessment is case by case. Our post on Japan student visa proof of funds explains what that means for a bank statement.

Part-time work

Students with the Student status can apply for permission to work up to 28 hours a week, according to the Immigration Services Agency. Plan the budget on family funds and treat any earnings as separate.

For study in Japan for Indian students, this step moves fastest when funding documents are ready before the COE arrives. Late bank records are where study in Japan for Indian students most often slips by weeks.
