Japan visa processing time for a Master’s student is mostly the Certificate of Eligibility (COE), which Japan’s Immigration Services Agency (ISA) sets at a standard one to three months. The visa itself, once you hold the COE, takes a minimum of five working days at the Embassy, according to VFS Global’s Delhi page for Japan.
So the clock that matters starts long before you visit a VFS centre. Say you finish your B.Tech in June 2027 and hold an offer for October 2027 entry. Every date below is worked back from the day you land.

Why the COE drives Japan visa processing time
A student visa application in India needs the COE in hand. The ISA’s page for the Certificate of Eligibility application gives a standard processing period of one to three months, and it accepts no postal applications. The application is filed in Japan, at the regional immigration bureau, either by you or by staff of the institution that will receive you.
That is why your university’s international office runs this stage. You send them documents; they file. Our post on the certificate of eligibility in Japan covers what the COE certifies and why it comes first.
Universities plan for the long end of the range. Kyushu University’s visa page, last modified 16 July 2026, says COE issuance takes “about 2 months or more” and asks for documents about two months before the arrival date. The University of Tokyo’s Graduate School of Frontier Sciences says the procedure takes approximately three months and can only begin after admission results are out.
The October 2027 timeline, worked backwards
Japan visa processing time is easiest to manage as a backward plan. The table assumes arrival in late September 2027 for an October start. Your university’s own dates replace these once your offer arrives.

Now set this Japan visa processing time against your final semester. If your B.Tech results publish in June, the COE documents are due at the same time, so keep your degree paperwork, passport and funding documents ready before exams end. Where the email COE helps
Since 17 March 2023, the ISA has let applicants receive the COE by email. You show the email at the Embassy and again at the airport, so courier time from Japan drops out of your plan.
What happens at VFS, and how long it takes
The Embassy of Japan in India tells applicants to submit through VFS, with no prior appointment needed. Its visa page also says processing “can vary significantly” and that the process cannot be expedited or prioritised.
For the visa leg, VFS Global’s Delhi page lists the long-term stay visa with a COE at a minimum of five working days from submission at the Embassy, and describes that figure as indicative. Since 20 April 2026, the Consulate-General in Mumbai no longer accepts visa applications directly from applicants, so Mumbai jurisdiction now goes through VFS as well.

The three-month expiry on your COE
The ISA’s immigration FAQ states that a COE is valid for three months and loses its effect if you do not apply for landing within three months of issue. Kyushu University repeats it: the CoE is valid for three months after it is issued.
So an early COE is good news with a deadline attached. If it arrives in June and you planned to fly in late September, check the issue date before you book flights. Japan visa processing time and the COE validity window have to fit inside each other.
Landing day and the 14-day address rule
ISA guidance lists seven airports where you receive your residence card on landing: Narita, Haneda, Chubu, Kansai, New Chitose, Hiroshima and Fukuoka. Land elsewhere and the card follows by post after you register an address.
Once your residence is fixed, the ISA requires you to register it at the municipal office within 14 days. Your university will usually tell you which ward office to visit, so keep the residence card and passport with you for the first fortnight.
